Job Description

Treebourne is a tree-planting charity based in Eastbourne. We are currently run entirely by volunteers. However, due to our continuing growth we need a paid administrator to ensure that we fulfil our statutory obligations as a charity, and to help us keep on top of our finances and increasing project workload. You will be responsible for the key administration and bookkeeping tasks required for Treebourne to run as a successful CIO charity. In addition, you will help ensure the success of our projects by supporting the team in fundraising and project planning activity.

Contract Details

● £20 an hour
● 8 hours per week (average)
● Flexible hours to suit you, apart from some ad-hoc fixed meeting times.
● Rolling annual contract (2 months' notice each way)
● This job requires you to be self-employed and does not include sick pay or holiday pay.

Key Responsibilities

● Regulatory

○ Understand the essential reporting, filing and governance requirements of a foundation CIO and ensure Treebourne complies with them. Specifically including at least:
■ Prepare annual accounts for HMRC, if necessary, with support from accountants
■ Prepare and submit the Annual Return to the Charities Commission
■ Schedule and administer the General Meeting and mandatory trustee meetings.

● Financial

○ Basic bookkeeping - Maintain records of categorised income and expenditure against all projects, using bookkeeping software such as Xero.
○ Work with the trustees to ensure the criteria of all awarded grants are met on time, and required evidence is collated and claims submitted before their deadlines.
○ Be aware of the terms of all grant funding we receive and help to ensure compliance.
○ Support trustees and project leaders in researching and applying for funding at the appropriate time.

● Administrative

○ Maintain a high-level view of all projects/commitments, including a diary of responsibilities (relating to administration, funding and grants, planting and other projects, nursery management, seeds4kids programme), and engage/support the right people at the right time to ensure they get done.
○ Maintain our memberships of bodies such as 3VA, Fundraising Regulator
○ Administer additional group meetings, as needed.
○ Attend monthly tree group meetings with Eastbourne Council
○ Support trustees and project leaders in the management and administration of planting projects.
○ Keep the Treebourne google drive documentation organised.
○ Help with stock management at our 3 tree nurseries.

Key Qualities and Skills

● Essential

○ Living in or around Eastbourne
○ Care (ideally passionately) about the environment.
○ Self-motivated, able to work without supervision.
○ Proactive
○ Highly organised
○ Good time manager
○ Strong numeracy
○ Good communication and people skills

● Preferable

○ Experience of charity (CIO) administration
○ Experience of basic bookkeeping, and bookkeeping software
○ Interested in also getting involved with Treebourne projects hands-on as a volunteer (e.g. planting, tree care, seed gathering)
○ Experience of work or volunteering in the charity/voluntary sector in Eastbourne or East Sussex
